JOB DESCRIPTION

Development Administrative Assistant

Vice President of Development

CLASSIFICATION:

Full-time, Non-Exempt

DUTIES AND RESPONSIBILITIES:

  1. Act as the administrative assistant to the Development department. Duties including, but not limited to, preparation of correspondence and materials, answering phones, and fulfilling requests from callers, budgets, travel arrangements, meetings, filing and overall administration. Assist in preparing for committee meetings, by drafting agendas, issuing invitations, notices and handouts, arranging for refreshments where needed, record and distribute minutes.  (30%)
  2. Act as the liaison for the WXXI and Little Theatre Development Officers with internal and external constituents, maintain mid and major donor files and records in Allegiance. Assist in special projects such as grant and Major Gift proposals. Assist in the planning and execution of events for donors and prospects. Generate regular reports of Major Donor activity. (25%)
  3. Maintain divisional cost accounts for Development and Underwriting.  Order and maintain office supply and premium inventory for Development and underwriting. (15%)
  4. Monitor division budget, make adjustments as needed. (5%)
  5. Assist with preparation of events. (10%)
  6. Keep records, bill and thank donors for non-membership contributors (5%)
  7. Participate in membership drives and fundraising activities as required. (10%)
  8. Assist with other divisional duties and special projects as assigned.

INTERACTION:

Interacts on a daily basis with management and staff members, guests and volunteers. This contact may range from scheduling meetings to furnishing information to others.

KNOWLEDGE AND SKILLS:

Associates degree or equivalent and a minimum of five years related work experience. Strong writing skills with a good knowledge of grammar, spelling and punctuation rules. Outstanding telephone and proofreading skills. Excellent communication and organizational skills. The ability to maintain confidentiality and use discretion. Computer skills should include Microsoft Word, Excel, internet search engines and database management.

PROBLEM SOLVING:

Perform duties to assist the Development Officers that require prioritizing and meeting deadlines.
